Cancelling a hotel booking: deadlines and penalties

Cancellation terms are set by the rate booked: flexible rates allow cancellation without charge up to twenty four or forty eight hours beforehand, while non refundable rates admit no refund, and both must be clearly disclosed before booking.

The lowest price almost always carries the tightest condition. The useful question is what it costs to keep the freedom to change your mind.

The two rate types

A flexible rate allows cancellation without charge up to a set deadline, usually 24 or 48 hours before arrival, and is paid on arrival or shortly beforehand. A non refundable rate requires payment in full at the time of booking and admits no refund in any circumstances, beyond whatever the establishment chooses to offer. The price difference usually runs 10 to 25 per cent.

When each one works

Non refundable on trips with fixed dates and flights already paid, where the probability of change is low. Flexible where there are months to go, where the trip depends on other people, or where you are booking early to compare later. A practical rule: if the saving is 15 per cent on 700 €, that is 105 €; where there is a real chance of having to cancel, that implicit insurance is worth buying.

If the hotel cannot accommodate you

An establishment that accepts a booking and then cannot provide the service must arrange accommodation at another of equal or higher category, covering the price difference and the transfer. Where that does not happen, claim the costs incurred in writing and use the complaints book. Keeping the booking confirmation with its reference and the amount paid is what supports that claim.

Material differences from what was contracted, such as the advertised pool being closed, also give grounds for a proportionate claim.

Cancellation insurance

It covers cancellation for listed causes such as serious illness, redundancy or a court summons, and usually costs 4 to 8 per cent of the trip value. It must be arranged within the first days after booking. A cancel for any reason variant returns a percentage, usually 60 to 80 per cent, at a higher premium, and it is most useful combined with a non refundable rate.
